General Information Technology
We continue to shepherd the Student Success CRM RFP through its process. Four vendors made presentations of their solutions to the CRM Advisory Group, and we are gathering feedback for the Executive Team to make a final vendor choice.
We have released three new IT Tech Guides in the last few weeks. One is a guide to using Microsoft OneDrive at Ball State, and the other two are guides are for setting up campus services (WiFi, two-factor authentication, etc.) on a mobile phone (Android and iPhone). You can find these guides and others on the IT website.
IT has six available positions: a Database Administrator (ITS), an Enterprise Security Engineer, (ISS) a Project Manager (Digital Corps), and a part time Ball State Information & OCC Representative. Two additional job postings—a Production Coordinator in UMS and a Production Assistant for Athletics, also in UMS—are awaiting approval. Postings for these positions will be available soon. The Digital Corps
Fall semester student hiring for the Digital Corps is in full swing The Corps will be hiring approximately 10-15 new Apprentices and will be promoting several students to Specialists and Masters.
The Digital Corps is working to move to ClickUp as their new online project management solution.
Several Masters-level students will create and present an informational session about the Digital Corps, its work, and its services, for the President and the Cabinet, tentatively scheduled for mid-September.
Information Security Systems
The ISS risk assessment audit is wrapping up. The report cited two areas of improvement: updating employee training and improvements to managing workstation inventory. The final results will be available at the end of August
ISS is updating access to the Ball State VPN as an opt-in service request, rather than providing broad access to everyone. There will be a new form in ServiceNow to requests access to it. Details will be announced soon in the Comm Center and a new Technology Kb article will be posted.
Information Technology Systems (ITS)
ITS is finalizing the COVID surveillance testing process, announced on August 10 by the Provost, to manage the testing of asymptomatic persons without a known or suspected exposure to COVID-19 to monitor the prevalence of COVID-19 in the campus community. ITS is working with Student Affairs on this project.
The Box to OneDrive migration for personal accounts is nearing completion. An announcement will be sent as soon as it is complete. The institutional folder migration is still on track from completing in September.
The EPSO is conducting final interviews in late August for the IT Student Success Analyst position.
Unified Technology Support (UTS)
The Technology HelpDesk and the ID Card Office have extended their hours for Welcome Week and the first week of classes. Please see their respective websites for the specific hours of operation.
Beginning Thursday, August 19, 2021, the Technology HelpDesk personnel will be conducting one-on-one help sessions Microsoft OneDrive. If you’d like to attend one, you can sign up for a 30 minute session via their Microsoft Bookings page.
The move to Filewave computer management system is complete for all university-owned Windows computers. UTS is finalizing plans for the implementation for university-owned Macs.
